SUMMARY

The Account Manager, MLB Travel will play a pivotal role in providing day-to-day operations and administrative support to the Vice President of Major League Baseball at PIVOT Agency. This position demands exceptional attention to detail, administrative precision, timely task completion, and effective communication with all PIVOT staff and clients. The Account Manager, MLB Travel will report directly to the VP of MLB Travel.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Process documents, ensuring important details for hotel stays with MLB teams are accurately handled.
  • Create and disseminate detailed emails both internally and externally to clients.
  • Collaborate with the VP of MLB Travel to provide day-to-day administrative coordination for clients.
  • Assist in managing individual travel requests (hotels, car rentals, long-term housing, charter flights) for VIP clients.
  • Utilize Salesforce, and CVENT for account management, contact tracking, and hotel sourcing.
  • Compile and dispatch documents via email, including rooming lists, KPL, In-Room Dining (IRD) and Food & Beverage (F&B) menus.
  • Assist with contracting and redlining of contracts
  • Respond promptly to urgent requests during business hours.
  • Aid Travel Division finance team on any specific folio requests, pick up reports, commission or hotel support
  • Outline event requirements with client (dates of stay, room/meeting space needs, concessions, etc)

  • Professional communication skills and high attention to detail both internally and externally, with teams, corporate clients, and hotel properties.
  • Effective time management to deliver first-class service to PIVOT Travel clients.
  • Ability to efficiently manage the daily travel needs of PIVOT Clients.
  • Representation of the company in accordance with its core values and objectives.
  • Mandatory daily communication internally during business hours.
  • Demonstrate strong interpersonal skills and high emotional intelligence to effectively navigate dynamic work environments and foster positive relationships with colleagues and clients. Exhibit empathy, self-awareness, and the ability to communicate and collaborate effectively

Requirements

Required Education and Experience:

  • BA/BS in Business, Sports Management, Marketing or other related disciplines.
  • 4+ years of employment experience in a fast-paced environment with competing deadlines.
  • Expert knowledge and understanding of group logistics/ Hotel logistics from both a competitive and business perspective.
  • Acute attention to detail, organization, and efficiency.

QUALIFICATIONS

Knowledge, Skills, Abilities

  • Understanding of Major League Baseball travel patterns.
  • Prior experience in the luxury travel industry or professional sports environment is advantageous.
  • Proficiency in Microsoft Office & Google Suite.
  • Familiarity with Salesforce, Sabre, and CVENT preferred.
  • Excellent presentation skills, both written and oral.
