RumbleOn, the nation's largest retailer of powersports vehicles, is looking for an energetic Records Retention Administrator who is versatile, detail oriented, tech savvy, and works well in a fast-paced environment. To be successful in this role you will be responsible for managing our electronic and hard copy records within the current records tracking system to ensure proper classification, preservation, quick retrieval and ultimate destruction of those records. This is a full time role that will be charged with engaging with each of our business locations to verify compliance with storage and destruction schedules.
Responsibilities:
- Assist in the coverage and supervision of Records Liaison tasks related to records management
- Responsible for ensuring all RumbleOn document compliance practices meet Federal and State regulations.
- Determine, delegate and audit destruction schedules, tasks and documentation tracking to local Records Liaisons annually or in regular intervals, as necessary, by expiration dates
- Ensure the onsite storage of records has adequate security, avoids environmental damage and allows for accessing records upon request
- Coordinate with Records Liaisons to pull file requests for litigation, subpoenas, or other company needs. Ensure these document pulls are tracked with a check out/check in process to ensure that files are returned and/or contact can be made with the person who should have possession of it
- Coordinate transportation logistics of files that are transported away from store locations to centralized storage
- Ensure all boxes containing records requiring storage be clearly marked with a record type and record number assigned on a label
- Assist with the continued evaluation of documents retained physically and assist with the conversion to electronic storage where possible
Requirements
- 1-2 years of records management experience including physical and digital documents
- Must be available to travel to dealership locations and off-site warehouses-Travel 25%
- Ability to lift a minimum of 50 lbs
- Proficient with Microsoft Word and Excel
- Possess a high degree of initiative with the ability to work with minimal supervision
- Ability to organize and prioritize job tasks quickly and efficiently
- General automotive or powersports dealership knowledge preferred
- Excellent customer service and communication skills
- Positive attitude and a team player
