We are looking for an enthusiastic and detail-oriented Office Assistant to support our daily office operations at Motta, LLC. In this role, these personnel guarantee that the numerous responsibilities inside an office are done well by combining administrative, organizational, and communication abilities. You should be organized and detail-oriented, capable of juggling multiple tasks while maintaining accuracy and meeting daily deadlines.
Responsibilities
- Provide administrative assistance through tasks such as data entry, file organization, and document scanning
- Manage phone calls and emails, ensuring prompt and professional responses
- Maintain accurate records and databases, oversee spreadsheets, procure materials, coordinate inspections, and follow up with clients and vendors
- Schedule and coordinate work assignments, confirm appointments, and make necessary changes as required
- Maintain meticulous records of travel bookings, expenses, and client preferences, ensuring confidentiality and compliance with company policies
Requirements
High School Diploma or GED
Proven experience as a back-office assistant, office assistant, virtual assistant or in another relevant administrative role
Excellent communication and interpersonal skills, with the ability to build rapport and establish trust with clients
You must be able to work weekdays between the hours of 8am - 7pm ** west coast time**.
Detail oriented, highly organized, dependable and multi-tasker.
Strong work ethics, respectful and a professional attitude towards work.
US Citizen or proof of work authorization required.
