Full Job Description

The Federal Programs Secretary provides administrative and clerical support to the Federal Programs department within the Pinon Unified School District. The primary responsibility of the Federal Programs Secretary is to assist with the coordination and implementation of various federal programs and ensure compliance with all applicable regulations and guidelines.

DUTIES AND RESPONSIBILITIES:

1. Assists with the coordination and implementation of various federal programs, including but not limited to Title I, Title II, Title III, and Title IV.

2. Maintains accurate and up-to-date records of program activities, expenditures, and participant data.

3. Prepares and submits required reports, forms, and documentation to federal and state agencies.

4. Assists with the development and monitoring of program budgets.

5. Schedules and coordinates meetings, workshops, and training sessions for program staff and stakeholders.

6. Provides administrative support to program directors, including managing calendars, scheduling appointments, and handling correspondence.

7. Assists with the preparation and distribution of program materials, such as newsletters, brochures, and presentations.

8. Assists with the organization and implementation of program events and activities.

9. Responds to inquiries and requests for information from program participants, staff, parents, and community members.

10. Collaborates with other district departments and external partners to ensure effective program coordination and implementation.

11. Keeps informed of current federal and state regulations and guidelines related to federal programs.

12. Performs other duties as assigned by the Federal Programs Director.

Requirements

1. Associate’s Degree or equivalent experience with additional training in specialized business courses preferred.

2. Three years progressively responsible secretarial experience that involved carrying out and coordinating day-to-day administrative support activities.

3. Must be able to initiate and implement ideas for the successful operation of the department.

4. Must be able to transcribe from audio recording, type accurately at an acceptable rate of speed, operate standard business equipment.

5. Skill in communicating courteously and professionally, both orally and in writing, while working with the employees and the general public.

6. Bilingual (Navajo/English) preferred.

7. Must have a working knowledge of standard business equipment including Mac and PC’s, proficient with Microsoft Office Suite (Word, Excel, PowerPoint, OneNote, etc.) and the Google platform.

8. Must possess and promote a positive and effective interpersonal relationship with the schools, departments, and the general public.

9. Skill in working in an environment subject to frequent interruptions, quickly changing priorities, and occasionally limited directions.

10. Must have a proven successful employment record
