Job Summary: 

The Collections Specialist is responsible for collecting and maintaining invoicing records and reconciling outstanding open invoices with payment. A successful Collections Specialist is detail-oriented, has strong customer service skills, excellent communication skills and the ability to thrive in a fast-paced environment. This person also is responsible for ensuring a positive experience for our clients while navigating an often-negative part of the client lifecycle. This role operates on a Hybrid schedule in the greater Phoenix Area and works on an 8am-5pm PST shift.

  

What is expected in this role: 

  • Monitoring and maintaining up-to-date records for client accounts and reviewing accounts in arrears ensuring appropriate action is taken as necessary.  
    • This can include escalating for further action or discontinuation of service on occasions where payment is not forthcoming – including liaising with other departments where necessary. 
    • This also includes preparing reports related to aged receivables and collections for your supervisor as needed.  
  • Empathically notifying clients of overdue payments and accounts by telephone, mail, email, text, etc. – including timely follow up if a reply is not received within a reasonable amount of time. 
    • This can include contacting clients to discuss overdue payments and set up payment plans as necessary. 
  • Professionally navigating client inquiries, creating a respective, responsive, and knowledgeable collections experience. 
    • This can include providing detailed client reconciliations and statements as required, resolving payment disputes, and processing payments and refunds. 
  • Adhering to all regulations and processes as established by REE’s policies, along with safeguarding personally identifiable information / personal health information in accordance with HIPAA laws.

  • Accounts Receivable Aging 
  • Total Collections

Requirements

What you need in this role to be successful: 

  • Ideally located in the Greater Phoenix Area. 
  • At least 1 year of experience as a collections or billing specialist, clerk, or other relative finance/ accounting experience. 
  • At least 1 year of experience working within a Finance Tool / Software such as ZoHo, Salesforce, Oracle, QuickBooks, Xero, etc. 
  • Proficiency in Microsoft Office Suite and navigating multiple platforms including ZoHo, Slack, Teams, etc.  
  • Previous experience in the medical industry is a Plus! 
  • Comfortability being on the phone whether sitting or standing for extended periods of time.  
  • Highly organized, have multi-tasking skills, and efficient in ambiguous situations with an expert level attention to detail. 
  • Strong written and verbal communication skills, with a track record of listening to understand client needs and ability to navigate difficult conversation with empath and tact to negotiate client payments, amount owed, due dates, and payment plans.  
    • This also means you can communicate effectively with different departments and levels within the organization. 
  • Track record of working in a fast-paced, fluid environment. 
  • Analytical and problem-solving orientation. 
  • High school diploma or equivalent required. A.S., B.A., B.S. degrees are a Plus!
