Full Job Description
To maintain appropriate records for efficient operation, including data analysis and quality metrics that will ensure meeting quality
objectives and to provide clerical and administrative support to the members of the Quality Assurance Department.
ESSENTIAL FUNCTIONS: (list in order of importance)
- Data entry of serial numbers, transact buses sold, in-transit and delivered to generate invoices for Finance group. Assist in coordination with Finance for milestone payments.
- Produce bus packets for delivery and ensure they are placed on the bus ready for the driver.
- Provide support in the maintenance of company inspection data and quality metrics.
- Assist in the creation, posting and distribution of all daily, weekly, monthly and annual production/quality performance reports. Maintain production scrap report in support of cell team metric meetings.
- Utilize Oracle and Microsoft Office applications in providing administrative support and creation of metrics. Create reports and metrics as requested by QA leadership.
- Perform filing and file maintenance, general typing/formatting of reports and QA documents, posting of miscellaneous QA information on bulletin boards, visibility boards, etc.
- Responsible for the organization, archiving and retrieval of production books and other quality assurance documents in compliance with the New Flyer Document Retention Standard.
- Perform research from past quality data and paperwork to assist investigation of present/incoming issues. Look up previous installations, rejects, and oracle information to support projects, as well as information gathering for warranty or recall notices.
- Support companywide 5S program by doing 5S audits in plant.
- Plan, Schedule, and Lead Anniston ISO Internal Validation Audit including printing and organizing all supporting documents, getting commitment for auditors from cross-functional groups. Travel to other NFI locations with Internal ISO Audit group to support other audits as needed due to manpower constraints.
- Review breakdown invoices and recommend approval for payment as required in concert with the ERSA Roadside Assistance
- Coordinators.
- Assist in the maintenance, distribution and updates of Quality Standards and Quality Alerts.
- Review and consolidate Collection Plans in Live QA on a daily basis.
- Maintain vacation and training schedule.
- Order office supplies and process purchase orders for supplies required by QA, prioritizing immediate needs against the budgeted allowance.
- Work with CAD Coordinator and property inspectors and assist in maintenance of property inspector’s offices if required.
- Serve as POC for initial breakdown calls during delivery from drivers or through ERSA. Assist ERSA with finding repair garages and towing companies. Follow up with ERSA or garages about in-delivery repairs and updates, and coordinate repair facility contact with subject
- matter experts within NFI to assist with information and repairs.
- Serve as Travel Coordinator for the QA department throughout all facilities, including arranging for properly scheduled flights, hotels, and car reservations, as well as making reservation and delivering a completed travel itinerary.
- Serve as the backup to the CAD Coordinator concerning coordination and schedule shipment of buses with both drive-away services as well as truck shipments of zero emissions buses. Communicate delivery information to CPM. Maintain sold-not-shipped report and track all conditions that must be completed before shipment.
- Coordinate with customs coordinator for price information of coaches. Ensure customs documents are filed accordingly for release of coaches delivered to Canada. Coordinate with port authorities when bus needs to be loaded onto a ferry during transit.
- Provide other administrative duties and clerical support for the quality assurance department as needed.
Requirements
- High School Diploma or GED
- Experience of office administration/clerical work
- Proficiency with MS Office (Excel, Word, PowerPoint, Power BI), SharePoint, Data Analysis, Organizational skills Interpersonal skills
- Up to 10% Travel required
- Physical Activity/Requirements - Lifting (max of 25 lbs.), Walking, standing, sitting for long periods of time
